In this Knowledgebase (KB) Article, it will walk you through the process to create the delinquent list and letter.
You will learn:
- How to create a delinquent list (which shows all past due, unpaid accounts) as well as a delinquent letter that can be mailed to your customer.
Important Note: Before running the Delinquent List or Letter you should first apply the Penalty and interest to the accounts. (see the article "How To Apply Penalty & Interest")
First, you will need to be logged into iGov Services
On the black navigation bar to the left
In iGovServices, navigate to:
Dashboards → Delinquent →
(If you do not see this menu item please contact your administrator to provide the appropriate rights)
Delinquent List
On the delinquent screen choose the delinquent list button.
On the application, solution screen select the desired application (Property, License, Utility, etc.) under the application type dropdown and the Status is normally Active. Then click Submit.
The results will populate on the lower half of the screen.
There are two choices to output this information. You can choose Excel or PDF. We suggest Excel because the excel spreadsheet can be sorted and edited.
Delinquent Letter
On the delinquent screen choose the delinquent Letter button.
On the delinquent letter criteria screen enter the pay thru date, the application for which you are wanting to have the delinquent letters, as well as the type of letter, which in this case will be Standard.
The results will appear on the lower half of the screen.
You can print an excel spreadsheet if desired.
To start the printing process, click the Print Delinquent Letter button.
The Print all Letters alert will appear. Click OK
The system breaks the letters into groups of 250. If there are more than 250 there will be more groups to choose from. If you have 1000 letters you should have 4 groups.
Choose the group and then Click the print button.
The system will create a printable file. This process could take several minutes depending on the size of the file.
If the file seems to take too long to display check to see if your popup blocker is activated. To clear this, refresh the page and print the group again.
Remember that if you close the delinquent letter before they are made into a pdf or printed, the printing process will have to be done again. They do not automatically save.
Print the letters or save them as a pdf. After that is complete it would be the time to print the next group(s).
