In this Knowledgebase (KB) Article it will walk you through how to process a refund within iGovServices
This is a multi-step process so you will be preforming the following steps in this order. Prior to doing the refund process do steps 1 and 2.
- Run the Credit Balance report located on the Customer Dashboard and click the green View Details button. This will show you which PIDN's have credits on them.
- A reduced credit memo must be created for the desired PIDN to make the credit balance go to zero. To do a refund the credit on the account must first be reduced to zero. There is a hyperlink directly below with step by step instructions on how to create a credit memo. .
Instructions to create a credit memo can be found using the link directly below. Remember the credit must first be reduced to zero before the refund can be processed.

3 Performing the Refund Process.
Important Note: Before you process a refund make sure you have created a session to receive your refunds. This is to keep them separate form your normal payment sessions.
First you will need to be logged into iGovServices
On the black navigation bar to the left
In iGovServices, navigate to:
Payments → Refunds → Issue Refund
(If you do not see this menu please contact your administrator to provide the appropriate rights)
Enter the PIDN in the search data field and click Search.
The refund information for that account will appear as shown in the image above. Click the Blue hyper link labeled 'Refund'.
Note: Please make sure to put refunds in their own session.
Fill in the Refund Date field, choose the refund session, type in a reason for the refund, the amount of the refund
and use the drop down to choose the GL Tran Types. Click Create.
IF YOU WANT TO REDUCE CREDIT AMOUNT, YOU MUST FIRST DO A CREDIT MEMO REDUCTION. THIS WILL CLEAR THE CREDIT AMOUNT FROM THE ACCOUNT.
If you want to print or email the receipt click the desired button.
