How to Balance a Normal Session

In this Knowledgebase (KB) Article it will walk you through the process of balancing a session within iGov Services.

 

You will learn:

  • How to balance a session.




On the black navigation bar, that is located on the left hand side, select Payments -> Balancing -> Balance Sessions. 





Click the green Create New Session button. 




Select your personal Employee Login from the dropdown to the right of Employee.




In the description field type in the name of the session so that the user can identify the description.

When the description is filled in select the CREATE button.  




The success screen will appear letting you know not only that the session was created but also the new session number. 



After you have taken payments with in iGov Services for the new session on the session balancing screen select the desired session and click the green View Receipts button. 





You will notice that the Session Balancing - Customer Payments screen show the payments within the session and they are sorted by the payment type. (Cash, Check, Credit Card etc.)


Note - You will notice up in the upper left corner of the screen there are buttons to choose either Excel or PDF so that the report may be printed. 




Locate the three green buttons at the bottom of the screen and click  #1 - the Count Totals button. 



On the Counted VS Calculated Totals screen locate the red Counted Total and fill them in with the totals that were counted from your reports and checks and cash etc. They should match the Calculated Totals and if they do not the difference will show to the left of the red Counted Total Field. 


Note - If they do not match check your numbers again and don't Click APPROVE until they match or the session will error when trying to balance. 




The above image is what the screen should look like after the Counted Totals has been entered and they match the Calculated Totals. Notice that the Counted Total fields are no longer Red.  Click Approve. 




The success screen will appear. Click OK. 



Click Button #2 Print Totals.




The above is the Balancing report you may print it for your records if you wish.



Click #3 Mark As Balanced button.



The success screen will let you know that the session as been balance and closed.
