How to Import a Property Tax Import File

In this Knowledgebase (KB) Article it will walk you through the process of importing the property tax file within iGovServices 


You will learn:


        The process of importing the excel file created with your City, Town, or Municipalities property tax data. 



Importing property tax data into iGovServices is a straight forward process that is dependent upon following through, in order the steps shown in this article and on the import screen. This article will show the process of importing the file that is created for the tax import which is either provided by the county or retrieved from prior years assessments, not the creation of the file itself. First you will need to be logged into iGovServices


On the black navigation bar to the left in iGovServices, navigate to:


Utility→ Data Import → Property Import Hub

 
(If you do not see this menu item, please contact your administrator to provide the appropriate rights)




Click Utility and then Data Import as shown above.



Click Property Import Hub as shown above.



On the property import hub as shown above, it is important to work from button 1a down to button 5 in that order. Skipping a step may cause the import not to process correctly.


Button 1a will bring up the Property Assessment Import screen as shown below. You will notice on this screen that there are instructions as well as sample files formats to download.  Please read the instructions before moving forward. 




On the Property Assessment Import screen you will see a gray button called Choose File. Click this button and you can search for the folder in which you have place the excel file containing the property tax import information. Once this is done click the green Begin Import button. 



The next screen will have a progress bar and will ask you to start the import file. 


Note:  If you are putting more than one file into the import (for example putting both real and personal tax data in.), you must pay attention to the text on the screen. You will push Yes for the first import file. If you have a second file to import and you push Yes again it will clear out the temporary import table and only the second file will be imported. If you click NO on the second the system will append the information along with the original file. 





Screen 1b is used by one client at this time. This screen is used if there are two files to import, one with the tax information and the second with the address information and it puts them together. This is a custom process and a file will have to be created by iGovServices which is an additional fee. If your City, Town, or Municipality is not listed in the dropdown, Do Not Use This Function




Button 2 is used to compile and print the comparison reports for either Real or Personal files. Choose either Real or Personal and click View Report. 




After choosing View Report the above screen will populate and show you the assessment numbers. If the numbers are correct you can either click the grey Excel button, or the Import Comparison Report PDF button. 




The above image is that of the Import Comparison Report which give a further breakdown of the information. 



Once the import comparison report has been reviewed and the numbers are correct then you will go back to the import hub and click button 3 Property Import transfer and update the Property table with the imported data. 


Just follow the buttons from top to bottom and next button 4 - Assessment Import Transfer (Optional). This will enter the new imported data into the assessment table. 


Finally click button 5 -  Assign Revenue Types. This process places Revenue Types on the accounts.
