How to file an extension within iGovServices

In this Knowledgebase (KB) Article it will walk you through creating an filing extension within iGovServices 


 

You will learn:


 
    How to create an extension for a filing. 


     How to create a filing for the extension if one is not already on the          account.


     How to enter an estimated payment if necessary



First you will need to be logged into iGovServices

 

On the black navigation bar to the left


In iGovServices, navigate to:


Settings→ Business Filing → Filing Codes

 
(If you do not see this menu item, please contact your administrator to provide the appropriate rights)






When setting up  the filing codes that may possibly have extensions post to them it is important to first check the Filing codes and make sure that those functions were selected for your filing codes is applicable. 


Locate the black navigation bar located to the far left of the screen and click settings as shown above by the red line. Then click the Business filing dropdown as show by the red arrow and then the Filing Codes button as shown by the blue arrow. 




On the filing codes screen select the desired code. For this example we will select OCCTAX as shown by the red arrow above. Click the edit icon shown above by the blue circle to open the Edit Filing Code screen. 




On the Edit Filing code screen there are three areas that will need to be select so that you will be able to preform an extension and take an estimated payment. 


The Extension box must be checked as show by the red line above.


The number months that the extension will last is is entered in the Months for Extension field as shown by the blue circle above for our example the number is five. 


The Allow Estimated Payments box must be checked if you want to perform estimated payments on this filing code. It is located at the bottom of the first column of options to be checked. 


When you have completed the above task click Save which is the green button located at the bottom right of the screen. 




How to create an extension



Search for the account on which you want to file the extension ash shown in the upper portion of the above image. 


When the search results populate the screen click the view hyperlink as shown by the red arrow in the above image. 




If there is no entry in the Outstanding filings portions of the screen as shown by the red box above, scroll down to the green  Other Actions dropdown as shown in the image below. 



Click the I want to create a new single filing hyperlink as shown by the red arrow above.




Using the Select Filing Code dropdown choose the desired filing code. In this case OCCTAX will be selected. 




After the OCCTAX filing code is selected the Cycle dropdown will appear. There is usually only on choice for the cycle. In this case it is OM which stands for OCCTAX Monthly. After the cycle is selected the rest of the screen will show up as shown in the image above. 


Fill in the TAX Year and choose Standard for the Type of Filing from the next dropdown.  Enter the desired date due and date past due. The Tax Period would be the quarter of the year for the filing, 

( i.e. 1, 2, 3, 4, or if it is an annual filing the just enter 1 ).  Finally the Service Period Start and End. This is the date range for the filing. 


When you have filled in all of the fields click Submit. 



After clicking Submit you will notice in the image above the bottom of the screen will populate with the filing information. 


Click the Complete button located in the upper left corner of the lower portion of the screen. 



You can return to the Filing Hub and you will notice that there is now an outstanding filing on the screen. Locate the Extension hyperlink as shown by the red arrow above. If you want to delete the filing and try again you can click the trash can  shown in the upper image by the blue circle. 





To set the extension expiration date you can either use the date that shows up in the window that is the date that the process is run plus the number of months that were were entered when setting up the filing code.  You can also enter your own date.


At the bottom of the screen you will see the option to take an estimated payment. If you do not want to take the estimated payment click No.  If you do want to take an estimated payment click Yes as shown above by the red arrow. 




Select the desired Filing Code in the dropdown and then enter the Tax Year. These are both mandatory fields that must be filled in. You will then click Confirm as shown by the red arrow above. 




The Line Items screen will allow you to enter the amount of the estimated payment as shown above. Click Yes to make the payment.
